KAWS Spring Board Meeting
Saturday, 15 March 2008, City Arts, Wichita, KS

President Kay McCoy called the meeting to order at 8:07 a.m.

Minutes of Last Meeting: were approved.

Treasurer’s Report:
--Carol Bloom submitted the report: as of 31 December 20076, Checking, $654.32; Savings, $25.00; CD, $2769.74. 2006 income: Memberships, $328.00;* Web ads, $25.00; CD interest, $229.80. 2007 expenses: Website/Domain, $155.00; State Fair Awards, $50.00, Scholastic Award, $25.00.**
*The Topeka and Lawrence guilds have paid 2008 dues, but this is not reflected in summary.
**Two $25 Scholastic awards were given; however, one enthusiastic recipient opted to frame, rather than cash, her check. Thus a $25 debit, although two $25 awards were made.

Old Business:
--Webmaster needed for website; after discussion, Lolly moved that we contract Amy Johnson to do our website and pay her $300 for 10 hours of web work. Marsha Wade seconded, motion passed.
--Retreat at Sycamore Springs in Fall of 2008: Cost is $100/day for barn and kitchen. There are sleeping rooms to rent at $5/night. First choice of date is Oct 25; second choice is Sept. 27. Lolly moved that KAWS pay for the two days and the guilds are on their own for sleeping rooms. Motion passed.
--Leslie McLaughlin said a little about next year’s KAWS in Lawrence; she will give more details in general meeting.

New Business:
--HGA Report: Barb asked each guild to fill out a report on their guild’s activities.

KAWS Spring General Meeting, Saturday evening, 15 March 2008, City Arts, Wichita, KS

President Kay McCoy called meeting to order.

President McCoy thanked the Wichita Guild for the conference.

Barb Say read the minutes of the last meeting.

Leslie McLaughlin gave details on the 2009 conference to be held in Lawrence:
--KAWS 2009 will be held April 3-5 in Lawrence, and will be hosted by the Kaw Valley Fiber Guild.
--The theme for the meeting is Fiber Legends, Heroes, Heroines, and Fairy Tales
--Guild exhibit theme: Fairy tale, nursery rhyme, or legend
--Individual exhibit theme: Straw into gold

Nancy Squire reported on Scholastic Awards

Mary Sue Foster moved to raise the award to $50. Motion passed.

The new webmaster information discussed in the board meeting was presented to the members; motion passed.

The Fall retreat information was presented to the membership, moved, and passed. The date selected was October 25.

Carol reminded us that we need to be sure to pay our dues. Several guilds send dues in as a group, but several guilds have not been paying. It was also noted that Web hosting and Domain name expenses at $155 could be reduced by paying for multiple years. It was also noted that the price seems high. It was suggested that we shop around for a less expensive way to do the website. Also One of the Scholastica award checks has not been cashed. Nancy Squires will be contacted. It was suggested in the future that we present the awards in cash. We were reminded that next year the State Fair awards will be $75.

Carol presented a list of the state fair awards: Gail Kliewer, Mary Davis, and Mary Jo May received $10 each for first place in their categories; Mary David was given $20 for Best of Show.

HGA Representative Report:

Barb Say mentioned that COE certificates are available. Monies are also available. To check on these, please check on HGA website. Convergence next year will be in Tampa, Florida.

Guild Reports:

Each board member reported on recent activities of their guilds. These activities ranged from demonstrations to workshops to hosting art shows.

Old Business:

State Fair participation. Please continue to encourage people to enter items. Part of the problem is getting the materials there. Local extension agents are usually overwhelmed with 4-H entries, so that isn’t usually a good option.

Website update. Nancy Mercer wants to step down because of personal commitments. She will finish the year, so we need to be looking for a replacement. Guild representatives were asked to go back to their guilds and ask if there might be a volunteer who can take over.

New Business:
Marnette announced that the spring meeting in Wichita will have the theme “Return and Get It. Learning from the Past.” Mary Sue Foster will chair the conference.
--Friday evening 4-6:30 is registration, spinning, Adinkra stamping. 7-8 Theresa Preston will present a slide show and talk on West African textiles. The vendors will be open.
--Saturday: morning workshops, noon luncheon, meeting, fashion show, afternoon workshops; evening buffet and Michelle Whipplinger slide show “Along the Silk Road.” Workshops will include Kumihimo, spinning without a wheel, Adinkra cloth, 3-shaft damask weaving, spinning mohair, beads, rug hooking, Victorian ribbon work, Intarsia knitting, faux finish, spinning flax, shibori.
--Sunday noon through Tuesday is post-conference dye workshop with Michelle Whipplinger on blues and purples.

Announcements:
--Midwest Weavers in 2009 will be in Illinois (?) with a heartland theme. It was suggested that Kansas should host a future meeting. Perhaps 2013? Could it be held in lieu of KAWS that year?
--Kay McCoy announced that the Alpaca Spin-off that we had discussed as a possibility for a retreat at Sycamore Springs fell through, and they are not doing it at all this year.
--It was suggested that we still could do a KAWS retreat at Sycamore Springs (near Sabetha), perhaps in association with next year’s October Board meeting. We could have a weekend retreat open to all members of KAWS, then the board could slip away for the fall meeting. We could do pot luck. Carol moved that we do the fall 2008 board meeting and a retreat at Sycamore Springs; Barb seconded it. Motion passed. Kay will arrange for the facilities.
--Marnette suggested we might want to do a bus tour to the Taos Wool Festival.
--Regina announced that the Osage guild are going to be doing a tour to Scotland in a couple of years.
--The Alpaca Midwest show is to be 27-28 October in Topeka.

Minutes of last meeting were distributed again and there were no
additions or corrections. They were accepted as presented.

Treasurer's Report:

Income: $425.00 ($410.00 memberships, $15.00 website ad from Marsha Jensen)
Expenses: $25.00 (secretarial supplies), $11.96 (check blanks), $155.00 (Website/Domain registration),
$25.00 (Guild exhibit award to Manhattan Area Weavers and Spinners), $50.00 (Kansas State Fair awards).

Carol handed out membership lists with members since 1999 and requested that each guild please update the list.
At the time of the meeting, there were 106 paid members.

Old Business:

Carol noted that there was some problem with the mailing; some
members didn't see the KAWS announcement. In some cases, some people
didn't see KAWS on the FiberFest announcement.
She also noted that some people have commented on missing the
paper copy of the newsletter.

State Fair:

1) Barb noted that the state fair people wanted people to demonstrate in the Domestic Arts building
during the fair, any time, on any day. Any individual or guild is welcome. Please pass the message along.
She spun in the sheep building last year. It was suggested that we put the demonstration request on the website.

2) Ronna reported that the fair board approved every category that we requested.

237 Woven accessory (such as hat, scarf, bag, jewelry, gloves)
238 Woven clothing article
239 Woven household item of any fiber

Entries are accepted Monday-Wednesday, September 4-6, from 9-6 p.m.
Judging is on Thursday, September 7.
Entries are released Sunday, September 17 from 6-9 p.m., and Monday, September 18, 8-1.

NOTE: We need to make sure that all categories have entries, or we will lose them.
Also, they will consider more categories if we get enough diverse entries that would merit more categories.

Web Page:

Marsha Jensen announced that she would like to step down as webmaster and would like to have volunteers
to take her place. Marsha asked that we push for advertisements on the web page. She has constructed an Advertising Agreement for the website. Information goes to Marsha and money goes to Carol as treasurer. It was
suggested that Carol's e-mail address be added to the form. This form will be posted on the web page.
It was noted by several of the board members that they have been contacted by individuals and companies
because of our website, so it is working

New Business:
Carol Bloom noted that the Bylaws have the official address presently listed as Pete Soekin,
a founding member who is no longer active. Could we amend the Bylaws to have the website
as the official address for KAWS? It was moved and seconded to take the issue of amending the
bylaws to list the official address for KAWS as the website (kansasweavers.com) to the membership.
Discussion followed, and members were unsure if

1) it needed to have a majority by the entire membership, and
2) if it had to be put to the general membership via the website and voted on during the Spring 2007 meeting.

HGA:
Ronna distributed a form to survey guild activities for her report to HGA and requested that the guilds
please complete the forms and get them back to her.
Ronna also indicated that she would be stepping down as HGA Representative, and that a new rep would be
appointed.

Announcements:
Nancy Squire presented a $25.00 award to Scholastic Art from KAWS.
She designed a certificate and will show it at the general meeting.

NOTE: It was moved, seconded, and approved by the general membership to add a second $25.00 award for next year.
(See general meeting minutes.)

Ronna announced that Convergence 2006 is in Grand Rapids, MI, June 20-July 1. There are still some class openings.

Midwest Weavers' Association, which alternates years with Convergence, will be held in Blair, NE (just outside Lincoln)
next year (2007). All are encouraged to attend because it is so close. Dues have been raised to $5.00.
Marsha will post a link to Midwest on the website.

Sally Brandon received an e-mail from Common Threads Quilt Show to be held in Wichita at the end of June at Century II. Does KAWS want to have a booth? (Booth fee is $225.) It was decided that KAWS wouldn't have a booth, but would be represented by the Wichita Handweavers Guild, who will be demonstrating.

The next board meeting will be in Topeka early in October on a Saturday. The date and particulars will be posted later.

Call to Order: Meeting was called to order by President Barb Say at 8:14 a.m.

Minutes of Last Meeting: Minutes were passed around. There were no additions or corrections.

Treasurer’s Report:


Carol Bloom reported:
income of $352 from membership dues for the year and $30 sale of ad space on the web

expenditures of $155 (reimbursement to Marsha Jensen for Fox Business Systems who maintain the domain name and host our website) and $50 for awards at State Fair

checking account balance of $283.81, CD balance $2261.76, and savings account $25

Total assets at end of 2004 $2570.57

Carol also reported that membership has grown, primarily as a result of having the guilds collect dues. Also, the treasury is up because we no longer have postage from sending out paper copies of the newsletter (see note below).


Old Business:

Barb indicated that we need to send a brochure to Midwest Weavers Conference to remind them KAWS is still functional. Barb will take care of this. Midwest is in Sheboygan, WI June 12-18 this year.

KAWS Website <www.kansasweavers.com> has information about KAWS, including present conference, ads, and other events. The ads ($15 for members, $25 for non-members) help pay for the website

Newsletter: Barb reminded all that the newsletter is no longer done on paper copy, but the minutes and other announcements are sent to guild representatives to be distributed to their memberships, and it is also posted on the website, along with the list of board members.

Members not in a specific guild: This topic was revisited and discussed regarding those not in a specific guild. Should there be a [guild at large] to include those people? It was decided that KAWS is the [guild at large] and the website can serve to inform those individuals. This was included in a discussion after Carol Bloom asked if she needs to keep e-mail and phone numbers of members as we no longer have a membership chair. She indicated that there is a big problem with frequent changes of e-mail addresses and it is extremely difficult to keep an up-to-date list. It was decided that keeping phone and e-mail listings were not needed, but that she would keep accurate addresses along with the dues information so that the presenting guild can have an up-to-date mailing list for KAWS registration forms.

State Fair Awards: Will stay the same this year as last ($50).

Liason with State Fair Board: This is needed when it is felt that categories need to be changed or updated. Marnette suggested and Carol moved that we ask the guilds to discuss the categories and have their representatives bring suggestions for change, etc. to the fall meeting. This was approved and Barb made the request to the general meeting after lunch.

FROM GENERAL MEETING: Nancy Squire inquired about the Scholastics Awards; they had been discontinued. A discussion ensued, and Marnette moved to reinstate the Scholastics award of $25 for the coming year. It was approved by the membership present.

New Business:

Lolly Buxton is the new president.
Laurie Robbins agreed to another two-year term as Secretary.
Carol Bloom has agreed to continue as Treasurer.
A new Vice President needs to be elected (which was done during the general meeting at lunch: the new Vice President is Kay McCoy)

Will be held in Lawrence at a date to be determined later.

Announcements:

KAWS 2006: Sally Brandon, as representative from FFWS in Phillipsburg, announced plans. It will be held on the third weekend in April (21-23) in conjunction with Fiberfest. The theme is Weaving New Traditions from a Rich Fiber Heritage. There will be a display area available for family fiber heirlooms. Workshops will include computer-aided drafting and design, conservation (Marla Day from KSU), clothing design, and beginning spinning and weaving. The board meeting will be on Saturday.

Ronna Robertson (HGA Rep.) reported and requested the following:
